Bilingual (French/English) Private PA for HNWI

Greycoat Lumleys client, a HNWI/Family Office, is looking for a French-speaking PA to join his existing PA in this hugely varied role, dealing with both his personal and corporate affairs.  The principal is immensely busy and is often required to be in several places at once!  You will work in tandem with the other PA, sometimes working on the same projects and other times working on your own separate ones.  You will also be required to cover each other’s holidays and generally ensure the smooth and seamless running of your principals’ affairs.

When in London you will be working from the Family Office. Both PA's will be required to travel with the principal (although not both PA's at the same time), sometimes for long periods of time.  The principal may need a PA to accompany him to New York whilst the other attends business in Europe on his behalf.  The locations for travel are usually the same places as that is where the majority of his business contacts are.  These include; London, Monaco, Greece, Switzerland and New York.  Applicants with contacts and/or friends in primarily Monaco and Switzerland will probably find the role a lot more rewarding as they can expect to spend longer periods there.  The ideal candidate will work comfortably, autonomously and not mind spending time on their own.

Ultimately you are to be the link between the principal and all of his professional affairs, which include: Family Office, Charitable Foundation, Art Collection, Horse Racing, Properties etc.

Private PA Responsibilities:

  • Extensive diary management, planning for short and medium term.

  • Liaising with other company PA's, domestic staff, corporate staff at Monaco HQ.

  • Arranging/booking travel and hotels/visa's for business and leisure purposes for principal and family/guests, applying for shooting permits/licenses.

  • Dealing with correspondence – drafting/typing/responding (often in French).

  • Filing – working with the other PA to create a filing system, going through archives.

  • Proactively dealing with personal arrangements of Principals/Family/Household staff.

  • Upkeep of contacts in Outlook (cleaning up outdated contacts).

  • Cost monitoring/reviewing accounts across all personal expenses/processing payment approvals, reconciliation of company credit cards.

  • Managing upwards to ensure principal is not overbooked, ensuring communication across all members of staff, acting as gatekeeper where necessary.

  • Liaising with different offices worldwide for personal and corporate issues.

  • Managing all corporate papers for calls, board meetings, making sure the principal has the correct papers and reads important correspondence.  Filtering all written correspondence, both corporate and private.

  • Building and organising a virtual database of documentation and necessary files.

You do not directly manage others but will oversee matters regarding:

  • Principals’ personal properties and staff.

  • Family members’ travel and expenses.

  • Fluent French, written and spoken.

  • Fluent English, written and spoken.

  • German and/or Italian is not essential but would be useful.

  • Microsoft literate.

  • iPhone and Apple technology literate.

  • Driving Licence is not essential but would be useful.

  • Adaptable, flexible and easy-going.

  • Level headed and calm under pressure.

  • Confident and assertive.
