Part time Personal Assistant and Property Manager, 20 hours per week (You must speak Fluent in English and Italian) Location: Remote (with weekly in-person meetings in London each Thursday Morning)
The ideal candidate will manage their own time efficiently and support a busy London-based family, with their personal needs and properties.
Requirements:
Attend weekly in-person meetings at the client’s home to review tasks and priorities.
Source people with the right skills and then arrange household maintenance, errands, small jobs.
Occasionally meet maintenance providers at the client’s residence when oversight is required to make sure their quality of work is executed to a high standard.
Manage household expenses (e.g., utilities), ensuring records are up to date and accessible.
Maintain simple bookkeeping records for household expenses.
Book travel for the family (and nanny); obtain refunds where necessary.
Return online shopping.
Liaise with nanny over anything regarding the baby
Inform the staff at the properties in Italy and Lancashire about the families travel plans and grocery preferences.
London home:
Create and manage a maintenance schedule for ongoing property upkeep (interior and exterior).
Coordinate periodic maintenance once the property is occupied, booking contractors as needed.
Liaise with the part-time housekeeper and full-time nanny where necessary.
Lancashire Home:
Oversee any property improvement, maintenance and expedite decision-making process as well as tracking of expenses.
Italian Home:
Liaise each week with housekeeper and gardener who take care of the property.
Liaise with Italian accountant over payroll.
Coordinate with the local secretary regarding payment tracking and confirmations.
Arrange property repairs and liaise with local contractors (e.g., plumbers) in Italian.
Maintain very organised simple bookkeeping records for all property-related expenses.
Help market the house for holiday lets.
Liaise with local contact regarding each guest arrival, in Italian.
Contact guests prior to arrival with a pre-defined set of questions.
The family are looking for a pro-active, organised and mature candidate to support the needs of the principal. You will be Tech-savvy and comfortable using spreadsheets and email communications. Experience in basic bookkeeping and expense tracking. The role requires someone who is capable of keeping excellent records and organising documents within computer filing systems. You must have prior experience in property management and as a personal assistant.
An advantage but not essential due to the Part time nature and flexibility. Occasional international travel and travel to Lancashire, the dates of which will be agreed in advance and would not exceed two nights per trip. When travelling for work there is guaranteed a minimum of twelve hours pay per travel day at usual hourly rate. All travel, food, and accommodation expenses will be covered. Additionally, one day’s paid leave is given for each night spent away.
