Senior Personal Assistant Job – UHNWI & Children’s Charity Support
A very prominent family member of a long-time and highly valued client of Greycoat Lumleys is looking for comprehensive administrative and organisational support covering both private and the charitable foundation related matters, as well as coordination of selected office management responsibilities. Operating in a fast-paced, high-demand environment with frequently changing priorities, the role requires a high level of discretion, flexibility, and attention to detail. The role is not remote is office based and we only require candidates currently in and around Zurich, Switzerland
Principal & Charity Support
Administrative & Personal Assistance
Management of all administrative tasks related to the principal (private and professional)
Calendar management and scheduling
Travel planning and bookings (flights, hotels, itineraries, coordination with concierge services in destination country, e.g. tour operators, transportation)
Drafting and managing correspondence
Preparation of meetings, briefings, and follow-ups
Management of documents and confidential information
Handling ad hoc requests and problem-solving in time-sensitive situations
Property & Household Coordination
Organisation and coordination of arrivals and departures
Liaison with on-site staff and external service providers where needed (another team member provides real estate management for the properties)
Ensuring smooth day-to-day operations across properties
Charity Support
Coordination and execution of charity activities both in Switzerland and abroad
Donation management and donor communication support
Maintenance of social media channels and website content
Event planning and organization
Acting as a key point of contact for internal and external stakeholders
Managing communication with partners, donors, service providers, and personal contacts
Ensuring a high level of service, professionalism, and discretion in all interactions
Personal Tasks & Occasions
Organization of birthday and Christmas gifts and Christmas preparations
Personal shopping and ad hoc requests
Office Management & Team Support
Administrative Coordination
Team holiday and absences schedule
Leave requests
Office Operations
Procurement of office supplies
Ordering of refreshments and pantry supplies
Financial & Coordination Support
Coordination of invoices and expense tracking
Liaison with accounting and external service providers
Meetings & Internal Coordination
Preparation and coordination of internal meetings and logistics
Team Culture & Engagement
Organization of team birthday gifts
Planning and coordination of team events
Key Skills Required
Languages: German and English, both fluent spoken & written (NON-NEGOTIABLE)
Be currently in Switzerland, ideally within 1hr commute of the city centre
Have verbally verifiable references in long term permanent positions as a Private PA
Strong service orientation, organizational and multitasking abilities
High level of discretion and confidentiality
Excellent written and verbal communication skills in German and English
Proactive, solution-oriented mindset
Ability to connect topics and understand interdependencies
Anticipating needs and acting proactively
Strong problem-solving skills and ability to work under pressure
