Our client, a European creative lady, is seeking to hire an experienced Private Executive Assistant to offer administrative and organisational skills to support her busy lifestyle. Preference will be given to candidates who speak either fluent Italian or Spanish as well as good English language skills.

 

This position would suit an experienced PA who enjoys working in an informal environment and is relaxed, down to earth and very friendly yet, behind the scenes, works hard to organise complex travel plans and ensures the clients travels and life run smoothly. This position would suit a warm and positive individual who is organised, motivated by service and is passionate about their work. The client splits her time primarily between London and the Caribbean with travel to the USA and throughout Europe. Initially, you will be required to travel extensively, particularly in the first year of employment. There is the option for a good amount of remote working if the future so you will be able to work from your own home country. This is very much an on-call position and although there will be plenty of rest time, you will still need to be available and flexible to support the clients changing schedule and requirements. Accommodation shall be provided when travelling overseas.

 

Your duties shall include but are not limited to:

 

  • Arranging complex travel requirements for the principal and family members including transportation, visas and accommodation

  • Identifying, establishing relationships with, and managing travel partners who can support the smooth running of extensive international travel

  • Handling communications (emails, formal letters etc)

  • Diary Management and arranging all meetings

  • Concierge style duties – booking and managing holidays, restaurants, entertainment booking etc

  • Errands and shopping

  • Managing all required administration on behalf of other family members

  • Overseeing project work assigned by the principal

  • Keeping the principal updated regularly with information on her private, social and commercial life

 

Although the vast majority of your work shall be focused on the private side, as the client has commercial business interests and charitable endeavours, it would be beneficial if you have previous experience having worked in a business environment and are used to liaising between professionals. The family tend to use Apple products including Macs and Iphone / Ipads so experience with these devices is required. You will need to be a very proactive solutions focused individual who takes pride in solving a variety of problems using your own initiative. Knowledge and contacts in London, the Caribbean, Florida and Spain are highly desirable but not essential. Driving skills would be helpful but not essential.

 

As the lady has children, you will need to enjoy working with and around children and teenagers. You will also be required on occasion to support other members of the immediate family with personal administration.
