An opportunity has become available for a professional, adaptable and meticulously organised individual to work in tandem with another PA supporting an international businessman. The successful candidate and the existing PA will be working on some of the same and some different projects, covering each other’s holidays and generally ensuring the smooth running of your principals’ affairs. Although the role is London based, you must be prepared to travel for long periods wherever the principal instructs, particularly to Monaco and Switzerland.

 

Main Duties and Responsibilities

  • Extensive diary management

  • Liaising with other company PA’s, domestic staff and corporate staff

  • Booking restaurants, tickets and hotels and applying for visas, permits and licences for the principal and his entourage

  • Responding to ad hoc requests as and when needed

  • Dealing with correspondence - often in French

  • Working with the other PA to create a filing system

  • Cost monitoring and reviewing accounts across all personal expenses and reconciliation of company credit cards

  • Liaising with different offices worldwide for personal and corporate issues

  • Managing all corporate papers for calls, board meetings and making sure the principal has the correct papers and reads important correspondence. Filtering all written correspondence, both corporate and private.

  • Building and organising a virtual database of documentation and necessary files

 

Key Requirements and Desirable Attributes

  • Minimum 3 years previous PA experience

  • Fluent English and French, written and fluent spoken

  • German and/or Italian is not essential but would be useful

  • Exceptional level of discretion and understanding of confidentiality

  • Adaptability and the ability to use initiative and respond proactively to changing situations and ad hoc requests

  • Excellent organisational skills and attention to detail

  • Proficient in the Microsoft office package and iPhone and Apple technology literate.

  • Ability to follow orders swiftly and efficiently

  • Comfortable working as part of team as well as independently

  • Ability to work under pressure

  • Adaptable, flexible and easy-going.

  • Happy to travel or be posted abroad for more than a month at a time.

 

Start date - ASAP

Live in or out – live out

Salary – £55-60k plus bonus

Hours – 9am-5pm Monday to Friday with some flexibility
