PA / Office Administrator role – Horsham, West Sussex

An opportunity has become available for a proactive, discreet and meticulously organised Office Administrator and PA to support a husband and wife team who run a beautiful rural Estate with their personal affairs and work commitments, and help with the organisation of their Estate Office.

The Estate is a pioneer in rewilding, eco-tourism and regenerative agriculture and so the ideal candidate will have an interest in nature restoration and sustainable business. The female Principal is also an award-winning author.

The successful applicant will be able to express themselves confidently, clearly and concisely in correspondence and written text, alongside the ability to work both independently and collaboratively.

This is a 40-hour week full time role.

Main duties and responsibilities –

  1. PA:
  • Extensive and complex diary management for one of the two Principals
  • Arranging appointments, meetings and social engagements
  • Travel planning
  • Management of events such as AGMs, workshops, speaking engagements and field trips
  • Letter writing and correspondence management
  • Liaising with consultants and other professionals involved with the Estate
  • Acting as gatekeeper
  • Liaising closely with the Estate Manager, Office Staff and Household Team to ensure the seamless running of the Principals’ affairs
  • Keeping accurate records and updating Team Members and systems
  • Research and project management relating to the Estate and the Principals’ professional endeavours
  1. Office Administrator
  • As first point of contact you will be answering incoming calls, taking messages, dealing with enquiries where possible and passing messages on accurately
  • Greeting visitors, receiving deliveries, opening and distributing post and invoices
  • Supporting the office team to ensure the smooth running of the office, including making appointments, teas/coffee etc, organising office cleaners
  • Dealing with general estate emails and forwarding as appropriate
  • IT/Comms - troubleshoot IT issues within office and be first point of contact for tech issues
  • Office equipment – manage photocopier & other office equipment
  • Manage mobile phone contracts/ordering for estate team
  • Co-ordinate job shares and hot desks as appropriate
  • Wedding and Self-catering accommodation lettings and associated agreements (in conjunction with others) and oversite of venue
  • Filing, photo copying, stationery and supplies ordering
  • Updating information to spreadsheets if required
  • Overseeing broadband leasing alongside estate manager
  • Organising riding permits for subscribers
  • Fire alarm testing
  • Other duties as required.

Required experience and desirable attributes:

  • Superb command of written English
  • A minimum of three years’ experience in a similar role
  • A sense of initiative and the ability to work independently and autonomously where required
  • The ability to prioritise and juggle a multitude of responsibilities effectively
  • Strong interpersonal skills
  • The ability to work collaboratively and as part of a team
  • A superb understanding of discretion and confidentiality

Salary: £35-40k GPA
