An opportunity has become available for a highly efficient, dynamic and experience PA to provide administrative support for a team of four and act as project co-ordinator within a family office organization to help deliver the construction of two high quality family houses in London and a significant programme of works at an estate in Italy. 

Key Responsibilities:

  • Provide direct administrative and diary management support to project teams across both London and Italy (all employees London based).
  • Manage the project governance framework to ensure project actions and reports are captured from all project meetings and fed into the project reporting structure. 
  • Prepare and edit correspondence, communications and other documents as required by other members of the team.
  • Update and maintain project action trackers and spreadsheets to monitor progress against programme and map critical project issues.
  • Assess and prioritise key risks to project timelines and agreed budgets.
  • Provide document control to assure the common data environment is kept up to date and documents can be easily found.
  • Assist in production of weekly/monthly reports.
  • Ensure all necessary risk assessments and method statements are held and maintain relevant up to date health and safety records.
  • Regular verbal and email communication with construction and consultant teams.
  • Attending meetings with the senior project team members.
  • Provide diary management for the most senior members of the team, arranging meetings internally and externally and booking meeting rooms.

Key Skills:

  • Minimum of 5 years full time PA experience.
  • Knowledge of the property and construction industry.
  • Project management experience 
  • Proficient in Microsoft Office.
  • Collaborative team approach and ‘hands on’ work ethic.
  • Ability to manage own time and diary.
  • High level of attention to detail.
  • High level of personal organisation.
