Property / Facilities Manager
JOB DESCRIPTION

 

CLIENT FACING:

 

  • To provide the first point of contact for all clients’ enquiries, responding as appropriate and providing commercial and cost effective solutions.

  • First point of contact for any building related issues with third parties (contractors, surveyors, insurers etc.). To ensure issues are dealt with in a timely manner.

  • To liaise with clients and tenants establishing and maintaining a good relationship

  • To deal with queries and problems and finding cost effective solutions.

 

 

BUILDING AND SERVICES MANAGEMENT:

 

  • Management of services including security, cleaning, hygiene, maintenance (planned and reactive), waste management and recycling, horticultural services, intruder alarms.

  • Management of PPM schedule for HVAC, electrical, lift, pumps, water hygiene, access control, fire alarm.

  • Management of access control system. Updating database, creating, deleting access cards.

  • Management of CCTV – ensuring system is up and running. Accessing archived footage and liaising with monitoring company when required.

  • Co-ordination and management of the on-site staff and ensuring that relief cover is arranged for holidays.

  • Procurement of goods and services.

  • Contract management and review.

  • Preparing tender documents for contractors and negotiating quotes.

  • Building utilities services management (water, electricity), smart meter manager.

  • Regular inspection of property to ensure it is in good working order.

  • Investigation and assessment of disrepair and scheduling an appropriate trade to carry out repair works.

  • Health and Safety provisions and all relevant building statutory compliance.

  • Carrying out weekly checks and inspections and maintaining H&S and Fire Safety log books.

  • Fire Safety – to carry out weekly alarm testing, coordinate fire and emergency evacuations.

  • Project management, supervising and coordinating work of contractors.

  • Liaising with specialist contractors.

  • Small upgrade projects of M&E systems at residential properties.

  • Ad hoc attending small technical issues at other residential properties belonging to the client in Belgravia/ Knightsbridge area.

 

SKILLS AND QUALIFICATIONS:

 

  • Preferable to have mechanical or electrical engineering background and qualifications

  • Preferable to have experience of managing large residential gardens and woodland areas

  • Understanding of smart house systems as Crestron, Control 4 and Lutron

  • Good knowledge of Microsoft office package

  • Russian language is a requirement (at least on a strong conversational level)

 

 

OTHER DETAILS:

 

  • The job is at a private estate based in Surrey (nearest train station is Haslemere)

  • The candidate will be required to work 1-2 days a week in London office (Mayfair)

  • Salary: £40-45k per annum plus benefits – Bupa private health insurance, life insurance, pension scheme, access to company Critical Illness cover, double salary payment in December, birthday vouchers (the last two are discretionary non contractual benefits)
