Greycoat Lumleys has the pleasure of working with one of the world's leading catering companies to supply their staff for their F1 contract. This is a very exciting opportunity for an Assistant Trackside Manager to join the team.
The Assistant Trackside Manager will ensure the successful delivery of all aspects of our client’s trackside operations & delivery of hospitality in line with their Racing’s Guest Experience Strategy.
Additionally, they will need to provide an outstanding experience at every event or location. This includes a focus on the successful execution of the international Hospitality Programme, with a primary focus on both the VIP Paddock programme and the Paddock Club Team suite.
Key accountabilities
Assist in the setup of hospitality areas, including VIP suites, lounges, and team zones, ensuring everything is in place before guests arrive.
Coordinate with suppliers and logistics teams to ensure the timely delivery of equipment, supplies, and décor.
Assist in managing hospitality staff, including hosts, bartenders, and catering personnel, ensuring they understand their roles and responsibilities.
Lead briefings to communicate event details, guest expectations, and service standards.
Monitor staff performance during the event, providing guidance and support as needed.
Ensure that all VIP guests, sponsors, and corporate clients receive top-tier service and attention.
Respond to guest enquiries and resolve any service issues or complaints quickly and professionally.
Assist with the coordination of special requests, such as dietary requirements or exclusive experiences.
Work with the Trackside Manager to coordinate the delivery of food, beverages, and other event services.
Oversee the smooth operation of hospitality zones, ensuring that they are fully stocked, clean, and functioning properly throughout the event.
Assist with the management of event schedules, ensuring that all activities run on time.
Support the Trackside Manager in managing relationships with high-profile guests, sponsors, and key stakeholders.
Address any operational challenges or last-minute changes to ensure the event runs smoothly.
Be proactive in resolving issues related to service, logistics, or guest experience.
Ensure that all hospitality operations comply with health and safety standards, including food handling, fire safety, and crowd management.
Monitor cleanliness and hygiene in all hospitality areas, coordinating with staff to maintain high standards.
Assist with the breakdown and cleanup of hospitality areas after the event, ensuring all materials and equipment are properly stored or returned.
Help prepare post-event reports, summarising the event’s success, challenges, and areas for improvement.
Provide feedback on staff performance and operational effectiveness to the Trackside Manager.
Work closely with catering teams, security, and logistics to ensure a seamless guest experience.
Communicate effectively with different departments to handle last-minute requests
Person specification
Experience in hospitality, event management, or a similar role, preferably in a high-end or luxury environment.
Strong leadership and team management skills, with the ability to motivate and guide staff.
Excellent customer service and interpersonal skills, with a focus on VIP guest relations.
Strong organisational and multitasking abilities in a fast-paced, high-pressure environment.
Flexibility and willingness to work long hours, including weekends, with the potential for international travel.
Knowledge of event logistics, catering coordination, and health and safety regulations.
Problem-solving skills and the ability to adapt quickly to changing circumstances.
Salary - £32,000 GPA – please note this is for a February to December contract
