Executive Assistant Job – Southampton, Hampshire – £36,000 to £40,000 DOE
Greycoat Lumley’s client is seeking an experienced Executive / Business Assistant to support two chairmen of multiple businesses based in Southampton. This is a pivotal and varied role for the right candidate, who must have excellent communication skills, strong attention to detail and the ability to manage multiple priorities in a fast-paced environment.
The successful candidate will need to be organised, proactive, discreet and professional, with proven experience in supporting senior leadership.
The role will entail:
Providing comprehensive administrative support, including diary management, travel arrangements and meeting coordination
Preparing high-quality correspondence, presentations and reports on behalf of leadership
Acting as the first point of contact for internal and external stakeholders, always ensuring professionalism and confidentiality
Organising board meetings, including agenda preparation, minute-taking and follow-up on action points
Managing expense reports, procurement requests and budget tracking
Supporting project coordination, ensuring deadlines are met and deliverables are tracked
Maintaining efficient filing systems (digital and physical) and ensuring data accuracy
Proactively anticipating the needs of the executives and taking initiative to resolve issues before they arise
Skills & Experience Required:
Proven experience as an Executive Assistant or Personal Assistant
Strong organisational and time management skills with the ability to prioritise and work under pressure
Excellent written and verbal communication skills
Proficiency in Microsoft Office Suite and digital collaboration tools
Discretion and confidentiality in handling sensitive information
Professional demeanour with strong interpersonal and stakeholder management skills
Desirable:
Experience supporting C-suite executives
Knowledge of financial or professional services sectors
Event coordination experience
Salary: £36,000 – £40,000 GPA DOE
